ISOS16 – Summit - Participant - Terms and Conditions
Application
These terms and conditions of sale or supply of services apply, without restriction or reservation, to all products and/or services offered for sale via the ISOS16 website and registration platform and , hereinafter referred to as "the Site".
The fact for a person or entity to order on the Site implies full acceptance of these terms and conditions of sale. They are accessible at any time on the registration platform and will prevail, where appropriate, over any other version and over the Participants’ own general terms of purchase or other terms and conditions.
Amendments to the terms and conditions
Any matters not specifically covered by these terms and conditions shall be subject solely to the decision of the organiser. These terms and conditions may be amended at any time by the organiser and all amendments shall be binding on sponsors and exhibitors equally with the foregoing regulations.
Contractual relationship
Laurea Group BV, a corporation duly organized and existing under the laws of Belgium and having its registered office at Square Meeûs 35, 1000 Brussels, VAT number BE 0682.428.751 organises the ISOS16 Summit in its own name and on behalf of Imec vzw, a corporation duly organized and existing under the laws of Belgium and having its registered office at Kapeldreef 75, 3001 Heverlee, VAT number BE 0425.260.668. The registration to participate to the ISOS16 Summit constitutes a contract between Laurea Group BV and the participant.
Communication
All communication goes via email. No tickets are postal mailed. Both the confirmation of registration and invoice are emailed to the indicated email address in the registration form. The email address to contact the organisers is ISOS16-25@laurea.be.
Payment conditions
Payment is due within 3 working days from invoice date. All outstanding fees must be paid before the start of the Summit and access cannot be guaranteed in case of non-payment.
Booking confirmation will be sent to you immediately for all online bookings. If you have not received an email confirmation within 24 hours of making the on-line booking, please contact the team at ISOS16-25@laurea.be.
Current rates are inclusive of tax, we reserve the right to defer any new taxes and rate
increases. The prices indicated are in Euros.
Payment must be made at the time of booking.

Payment by credit card is processed via Stripe and the organiser pays an extra charge to Stripe to process the transaction.
The Provider accepts payment by American Express, Visa, MasterCard and Maestro. If you choose to pay with a credit card, the money is immediately withdrawn from your card upon confirmation of payment.
Cancellation policy
Full reimbursement can be requested upon written cancellation by the participant within 14 days after purchase in line with Belgian consumer protection legislation. After that date, paid registrations cannot be reimbursed.
Between Friday 15th August and Friday 13th September 2025 included, it will be possible to update your registration. Only non-paying items will be changeable (name change, participation in the poster session and dinner on Tuesday evening 30th September, participation at the lab tour on Wednesday afternoon 1st October).
As from Saturday 14th September 2025, only a name change is possible and needs to be notified at the registration desk onsite and a new badge will be printed.
If the Symposium has to be cancelled by the organisers, Laurea Group BV’s liability is limited to a full refund of the registration fee only. We will not refund travel or hotel costs associated.
Laurea Group BV accepts no liability if the Summit is cancelled or postponed for reasons beyond our reasonable control resulting from an act of nature, governmental regulation, fire, war, terrorist activity or civil commotion and no refund can be claimed.
However, in case the Summit cannot be organised on the set date a new date can be proposed as soon as reasonably can be expected. In that case, the organisers will aim to reschedule the summit within the next 12 months and no refunds can be claimed.
Complaint
Any complaint and/or dispute by the customer against the service must be made, exclusively by e-mail to the address ISOS16-25@laurea.be, at the latest 48 hours after the event giving rise to the complaint, under penalty of forfeiture.
Photos and Videos
Delegates agree that the organisers may use any photos taken in conjunction with the Summit in an unlimited manner for promotional purposes of ISOS and its activities on the ISOS, Energyville, Imo-Imomec and Imec websites and in ISOS, Energyville, Imo-Imomec and Imec publications without any compensation to the delegate.
Delegates agree that the organisers may use any video recordings taken in conjunction with the Summit in an unlimited manner for scientific educational purposes of ISOS, imo-imomec, imec or Energyville.
Privacy
We will treat your personal information in accordance with data protection legislation. We will only use your information for administration and communication in the frame of this event.
Responsibility
The registrations offered for sale have been the subject of all the necessary care.
However, the customer acknowledges and accepts that the models presented do not in any case constitute a detailed legal opinion.
The models are used under the entire responsibility of the participant and for information purposes only.
By using the registration platform, you waive the liability of Laurea Group, its publishers or the author of the text, even in case of weakness or inaccuracy, whether obvious or not, of its content.
In any case, the responsibility of Laurea Group BV , its publishers, its partners and the authors is limited to the reimbursement of the purchase price.
Damages/Safety/Insurance
Participants are entirely liable for damages to third parties' stands or other participants, properties, health (be injury or death). To this extent LAUREA Group BV and the venue are to be considered third parties.
Smoking is not allowed in the venue.
Invalidity - Force Majeure - Applicable Law and Competent Court
If for any reason a provision of these general terms and conditions should be declared inapplicable, such inapplicability shall not affect the application of the other provisions of the general terms and conditions. The provision deemed inapplicable will then be replaced by the closest possible provision.
Should there be any disagreement, parties are subject to the courts of Brussels, Belgium.
